This Service Policy explains the general terms for quotations, orders, customization, production, shipping, after-sales support, and other B2B services.

1. Product Information

We aim to provide accurate product descriptions, specifications, images, packaging information, and other details on our website.

As our products may be updated or customized for different customers, certain specifications, colors, packaging, accessories, or features may vary depending on the confirmed order.

Final specifications will be based on the quotation, sample confirmation, proforma invoice, purchase order, or other written agreement between the customer and xmlcharge.

2. Quotations and Pricing

Prices displayed or discussed through our website are for reference unless otherwise stated.

For wholesale and bulk orders, final pricing may depend on:

  • Order quantity
  • Product specifications
  • Packaging requirements
  • Logo or branding customization
  • Destination country
  • Shipping method
  • Current material and production costs

A quotation is only valid within the validity period stated in the quotation.

3. Minimum Order Quantity

Minimum order quantities may vary depending on the product and customization requirements.

4. Samples

Samples may be available for product evaluation before bulk orders.

Sample costs, shipping fees, lead times, and refund arrangements, if applicable, will be confirmed before the sample order is processed.

5. Payment

Payment methods and payment terms will be confirmed before production.

Bulk orders may require a deposit before production, with the remaining balance payable according to the terms stated in the quotation or proforma invoice.

Orders will not enter production until the required payment has been received unless otherwise agreed in writing.

6. Customization and OEM/ODM Services

We may provide customization services including, but not limited to:

  • Product color customization
  • Packaging customization
  • Cable length or connector options
  • Product specifications
  • Private label packaging
  • OEM/ODM development

Customers are responsible for ensuring that any trademarks, logos, graphics, packaging designs, or other materials provided to us do not infringe the rights of third parties.

Customized orders generally cannot be cancelled or returned after production has started unless the products do not meet the confirmed specifications.

7. Production Lead Time

Production times vary depending on product type, quantity, customization requirements, material availability, and factory capacity.

Estimated production times will be provided before order confirmation.

Unexpected circumstances, including material shortages, transportation delays, public holidays, customs issues, or other events outside our reasonable control, may affect delivery schedules.

8. Shipping and Delivery

Shipping arrangements may include express delivery, air freight, sea freight, or other logistics solutions depending on the order.

Shipping costs, delivery terms, destination charges, customs duties, taxes, and import requirements will be confirmed according to the agreed trade terms.

Unless otherwise agreed, customers are responsible for local customs clearance, import duties, taxes, and compliance requirements in the destination country.

Delivery dates are estimates and may be affected by carriers, customs authorities, weather, transportation capacity, or other external factors.

9. Product Inspection

Customers should inspect received products as soon as possible after delivery.

If there are shortages, transportation damage, manufacturing defects, or products that do not match the confirmed order, please contact us promptly and provide:

  • Photos or videos
  • Description of the issue

We will review the information and provide an appropriate solution based on the circumstances.

10. Warranty and After-Sales Support

For confirmed manufacturing defects within the applicable warranty period, we may provide replacement products, replacement parts, repair support, credit, or another mutually agreed solution.

Warranty coverage does not normally include damage caused by:

11. Returns and Refunds

Because we mainly supply B2B and wholesale customers, returns are handled according to the specific circumstances of each order.

Customized, private-label, OEM, ODM, or specially manufactured products are generally not eligible for return unless there is a confirmed manufacturing defect or the products materially differ from the approved specifications.

Any return must be approved by xmlcharge before products are sent back.

12. Order Changes and Cancellations

Customers should carefully confirm product models, specifications, quantity, logo files, packaging, and shipping information before production begins.

Changes or cancellations after production has started may result in additional costs and may not always be possible.

13. Limitation of Liability

To the maximum extent permitted by applicable law, xmlcharge will not be responsible for indirect, incidental, or consequential losses resulting from delays, improper use, resale activities, customs issues, or circumstances beyond our reasonable control.

Any liability relating to an order will be handled according to the specific commercial agreement between xmlcharge and the customer.
